Band Collaboration

Share setlists with your band. Assign roles, edit together in real time, and stay in sync on stage.

Creating a Band

  1. 1

    Open Bands

Go to Bands in the sidebar.
  2. 2

    Create your band

Click "New Band" and enter a band name.
  3. 3

    Invite members

You automatically become the admin. Invite members by email (with a role of your choice) or share the general invite link (joins as Viewer).
  4. 4

    Members join

Members join with their own SetlistBaby account.
Email invitations let you assign a specific role (Admin, Editor, or Viewer). The general invite link always joins as Viewer — admins can change roles at any time afterwards.

Roles & Permissions

Each band member has exactly one role. Admins can change member roles at any time.

Admin

Full control — can delete the band, manage members, invite new ones, and edit everything. The band creator is automatically an admin.

Editor

Create and edit setlists, and change rehearsal status.

Viewer

Read-only — can view setlists and use Gig Mode.

Shared Setlists

Create setlists within a band context or assign existing personal setlists to the band. All band members can see them. Editors and admins can modify them.

Changes are synced in real time to all members currently viewing the setlist.

The activity log (expandable on the band page) shows who changed what and when — so you always know what happened.

Real-Time Editing

When multiple people have the same setlist open, changes are synced in real time.

Update banner

A banner notifies you when someone updates the setlist — e.g. "Daniel updated this setlist" with a "Reload" button to fetch the latest version.

Conflict detection

If you try to save after someone else made changes, a dialog shows the recent changes. You can choose "Reload latest" or "Save anyway".

"Save anyway" overwrites other people's changes — only use it when you're sure your version is correct.

Rehearsal Tracking

Track the rehearsal status of every song in your band. Editors and admins can change the status:

New

Just added — hasn't been rehearsed yet.

Needs Practice

Not performance-ready yet — needs more rehearsal.

Ready

Performance-ready — good to go for a live show.

Click the colored strip on the right edge of a song card to cycle through statuses (New → Needs Practice → Ready → New). Stats are shown on the band page: "X songs · Y ready · Z practice".

Great for rehearsal planning — see at a glance what still needs work.

Gig Mode for Bands

In band Gig Mode, one person controls the navigation — everyone else follows automatically.

Band Leader feature

Admins and editors can claim the leader role. The leader controls song navigation — all followers automatically jump to the current song.

Take-over

Another admin or editor can take over leadership with a confirmation. Followers can browse independently and return to the leader's position at any time via a "Return to leader" button.

A banner at the bottom of the screen shows followers who's currently leading. If the leader leaves the page, the leader role is released automatically.
